Every Intrac client has a Intrac Software System (“System”) which collects and stores all client data on behalf of the client. This policy together with our Terms & Conditions, inform you as to how we collect and process our clients data and personal information through your use of and access to our Website and System.

This privacy policy applies from the “Last updated” date stated at the top of this webpage. Any changes we may make to our privacy policy will be incorporated into our existing privacy policy and the “Last updated” date amended accordingly.

5. Client System data

System data means all data related to the client and their customers that is collated by, and potentially stored by, the System on behalf of the client.

5a. Data ownership

The client owns all the data, but allows us to collate, store, and use, the data as part of the System functionality.

5b. The data we collect

We collect, use, store and process data including;
- customer identity information, including name, title, organisation name, telephone numbers, email address, address, postal address, date of birth, medical conditions, and other bespoke client requests;
- all customer purchases and transaction information, including details about payments to and from you or your nominated payment service provider and other details of any products & services which you have purchased or might purchase from us;
- all your product information; - customer service information, including your customer service enquiries and comments;
- other information collection requested by our client.

5c. Access to data

We may access your data for the purposes of;
- providing and maintaining your System, and as part of providing our product & service to you;
- facilitating third party product & service providers you have authorised to access data in order to provide their product & service;
- third party authorities, where we are legally obliged to disclose your data to in order for us to comply with applicable legislation and legal requirements.
Our clients have access to the data via the System, and are responsible for controlling who has access to their System and what data they can access via the System.

5d. Storage and security of your data

The data our System collects for you is stored at a location in Australia using Amazon Web Services. We have protocols ensuring multi level redundancies are in place, and multi level back up protocols are in place. Our security measures aim to prevent your data from being accidentally lost, used, altered, disclosed or accessed in an unauthorised way. In addition, we limit access to your data to those employees, agents, contractors and other third parties who require that data to deliver their product & service for us and you. They are authorised to only access and process the specific data fields required for the product & service they are are providing us and/or you. on our instructions and they are subject to a duty of confidentiality. We have procedures to deal with any suspected or actual breach of your data and will notify you and any applicable regulator of any breach where we are legally required to do so.

5e. How long do we retain your data

We will only retain your data for the duration of your contract with us to supply you with a System.If a contract is terminated by us or you;- we will supply your data to you in appropriate spread sheets;- we will destroy all copies of that data by appropriate means after you have instructed us in writing to do so.
